GP practices are contracted to provide NHS services. Requests for medical reports, private letters, certificates, insurance forms, occupational health documentation, and other non-NHS work fall outside this contract and are therefore chargeable.
Non-NHS work requires clinical and administrative time that is not funded by the NHS. Charges help cover the time needed to review medical records, consider the request, prepare documentation, and ensure that any information provided is accurate and appropriate. While we aim to assist patients wherever possible, the practice reserves the right to decline any private request where it is not appropriate, falls outside our expertise, or cannot be supported by the medical records.
All non-NHS work is undertaken in addition to NHS clinical duties. As patient care remains our priority, non-NHS requests may take several weeks to complete. Fees must be paid in advance unless otherwise agreed.
Please note that payment of a fee does not guarantee that a report, letter, or certificate can be provided. Any information supplied must be be factually accurate, clinically appropriate, and supported by the patient’s medical records.
Our policy on “Fit to…” letters
The practice does not provide letters or certificates stating that a patient is medically fit to undertake any activity. This includes, but is not limited to, fit to fly letters (including during pregnancy), fit to travel, fit to participate in sporting events, fit to attend a gym, fit to scuba dive, or any similar declaration of fitness.
These requests require an assessment of the specific activity and the associated risks and may carry significant medico-legal responsibility. It is therefore the policy of the practice not to provide such opinions.
This policy specifically includes requests for “fit to fly” letters during pregnancy. We are unable to certify that a pregnant patient is fit to fly. Patients should check the requirements of their airline or travel insurer before requesting any documentation, as many organisations have their own forms or policies regarding travel during pregnancy.
If an organisation requires an opinion regarding a patient’s fitness to undertake a particular activity, patients should seek advice from an appropriate independent medical practitioner or occupational health provider who offers this service. Where the request relates to a hospital-managed condition, the patient’s hospital consultant or specialist team may be better placed to advise or provide any supporting documentation.
Requests for private letters are considered on a case-by-case basis. The practice reserves the right to decline requests for private letters where they require a medical opinion that falls outside the scope of general practice or cannot be supported by the medical records.
